Job Description
The Operations Coordinator provides operational and administrative support to the service center management and team.
Job Responsibilities:
- Prepare team member hours and data input for accurate Tosca payroll submission
- Perform final review of payroll hours for time card accuracy and submit to temp agencies for billing purposes
- Track vacation time used by team members
- Work with temporary staffing agencies or recruiters to schedule walk through interviews with Service Center Manager, coordinate orientations for both temp-to-hire candidates and direct hire Tosca team members
- Maintain shift records to include production, shipping, receiving, quality
- Responsible for ensuring successful shipping process – matching PO numbers to orders, working with drivers to take correct loads, making BOL’s
- Coordinate with service center supervisors to; communicate any special loads or shipments needed, meet out bound shipping goals and report any inventory concerns to Tosca Customer Service/Transportation
- Communicate with Tosca customer service and transportation to create a schedule for daily pickup and delivery
- Use relevant systems to write, approve, and receive purchase orders. Submit invoices to accounting for payments
- Track invoices and spending in spread sheet to compare accuracy to end of month accounting close
- Confirm proper completion of BOL and transportation paperwork and update into the appropriate Shipping system
- Monitor Shipping and Receiving for timely service and inform management of any issues.
- Perform random quality inspections of loads and report to the team
- Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, verifying
- Meet and greet clients and visitors, send and receive mail packages
- Schedule and coordinate meetings, interviews, lunches/deliveries and other office/service center events
- Manage files, maintain hard copy and electronic files
- Create and modify documents using Microsoft office
- Coordinate and maintain records for staff office space, phones, parking, company credit cards and office keys
- Prepare business correspondences; mail, scan or fax documents
- Maintain forms for the company and post materials on bulletin board
- Support office housekeeping activities for general office and service center areas
- Maintain a clean and safe work environment
- Perform other related duties and assignments as required within the service center
Qualifications:
- 1-3 years of experience in a service center/office role
- Strong attention to detail and follow through required
- Time management skills with the ability to multi task and meet deadlines
- Working knowledge of shipping and receiving
- Good planning and organizational skills
- Well-developed and professional interpersonal and communication skills
- Must be able to work with confidential information
- Computer literacy, specifically MS Word and Excel
- Ability to work occasional flexible hours and over time based on company/volume needs
- Bilingual in Spanish is strongly preferred
Work Schedule
1st shift 7:00 a.m. to 3:00 p.m.
